Committee Convenor Information
Please keep a copy of this information in your binder to help remind you of a few things you need to do/be aware of and to be able to pass the correct information on to any new convenors.
1. As per our constitution, the President is a member of every committee, so please let him/ her know so he/she can attend any meetings if they are able.
2. Choose your own committee members and add to it as you see fit.
3. Please keep notes as you work on your event/committee so we can benefit from your experiences. When a new person takes over the committee, it will be a much smoother transition if he/she has past years reports to guide them.
4. If you are unable to attend the general meetings before your event, please send along a report with another member, or email it to the President so the club can be kept informed on your event.
5. Keep a copy of the committee chairs list and the yearly calendar in your binder.
6. Please send the Website Convenor any information about your event so he/she can get it on the site asap, especially any changes in date/venue, etc.
7. Keep bills for expenses incurred to be presented for approval at meetings. Please obtain approval for any major expenses prior to spending.
8. Be prepared to present your report at our Annual Meeting in January. Please keep a copy of the report in your binder and give a copy to the Secretary for his/her records.
Club convenors are reminded to bring a report of their committee's activities for the past year to the annual Meeting. They should have one copy of the report to give to the Secretary and have one for the binder. They should bring their binders to the January meeting to receive updates.
Constitution
Several changes to our constitution were suggested and voted on at our Annual Meeting in January. Everyone should have a copy of our constitution. If you do not have one, ask Secretary Karen Pilch for a copy. Please read and understand the rules by which the club works. If you have any concerns, please ask to discuss them at a meeting.
